ExpoGenie Sponsor Pricing Benchmark · Fall 2026

What company-hosted user conferences charge sponsors

We read the sponsor pages and prospectuses of 105 user conferences run by software and technology companies, and pulled every sponsor tier, price and inclusion we could verify. Most keep their pricing private. Here is what the ones that publish it charge, and a quick way to see where your sponsor program sits.

Sponsor pricing

Entry and top tier prices, conference by conference

Each dot is one conference. The dark bar is the median. The scale is logarithmic so the $2,000 tabletops and the $150,000 title packages both fit.

One conferenceMedian

Only groups with at least 8 conferences are charted. Industry software covers vertical, logistics and construction software. Healthcare IT, IT and security, fintech and HR tech conferences are in the totals but not shown on their own yet.

Sponsor sign-up

Most hosts still sign sponsors up by email

We looked at how each conference tells a prospective sponsor to get started. Fewer than 1 in 10 let sponsors sign up and pay online.

All 105 conferences. A form or an email usually leads to a PDF prospectus and a contract, and then logos, payments and booth staff are collected by hand.

How we built this

Sources

Each conference’s own sponsor page, prospectus or sponsor portal, read in November 2026. 105 user conferences hosted by software and technology companies, from healthcare IT and fintech to IT, security and vertical software.

What we measured

The entry price is the cheapest published way to exhibit, including kiosks reserved for startups or first-time sponsors. The top tier is the most expensive published conference package; year-round partnership bundles are left out. All figures are medians, not averages.

When a number is shown

Group charts need at least 8 conferences, and we say how many are behind every figure. Most prices are for 2026 or 2027 events; three conferences only had a 2024 or 2025 prospectus available.

Who is in it

Pricing medians use the 20 vendor-hosted conferences that publish prices. Two priced events run by an association management company or a purchasing group are counted in the totals but left out of the medians.

Checking

We re-checked a sample of conferences field by field against their published prospectuses. Where a prospectus table was unclear, we used only the figures we could read with confidence.

What it isn’t

It is not a survey of what sponsors actually paid. Published prices can differ from negotiated deals, and the 83 conferences that keep pricing private count only toward the sign-up and partner figures.
