Native integration

The exhibitor platform built for Novi associations

ExpoGenie integrates with Novi AMS and QuickBooks Online so every booth and sponsorship sale lands in Novi as a registration, a ticket and an itemized QuickBooks invoice, with no manual re-entry.

A modern exhibitor experience on top of the membership system your team already trusts.

๐ŸŽฏ

One source of truth

Novi stays the hub; ExpoGenie powers the experience.

Who it is for

Built for associations running trade shows

If your team is small, your event is big, and you are tired of reconciling booth sales across systems, this integration is for you.

What associations typically struggle with

  • Exhibitors look at a map, go back to Novi to buy a ticket, then return to the map to pick the actual booth
  • Every booth sold gets keyed into Novi as a ticket by hand
  • Paperwork moves between the person who sells the booth, the person who invoices it and the person who registers the staff
  • The floor plan is a PDF or a graphic, so exhibitors cannot search it for their own name
  • Invoices go out after booths are picked, so someone spends the next few months chasing receivables
How it works

Four connected steps, one clean workflow

From login to financial sync, every step is built to reduce friction and keep your records accurate.

1

Single Sign-On + Membership Verification

Exhibitors access the ExpoGenie portal using their Novi credentials, and ExpoGenie automatically recognizes membership status.

Why this matters
  • No extra account to create before an exhibitor can start
  • No duplicate accounts or "which email did I use?" chaos
  • Member-only exhibitor access enforced consistently, with no manual policing
2

Booth Selection + Checkout inside ExpoGenie

Exhibitors select booths with rules and guardrails, then complete checkout in one flow, with support for real-world line items.

Why this matters
  • Booth fees, corner and premium upgrades, and add-ons
  • A modern "pick, pay, confirm" experience
  • Fewer booth errors for your team to chase down
3

Itemized Financial Sync to Novi + QuickBooks

Specific line items flow through to Novi and QuickBooks Online, not just a single lump payment, so finance stays clean.

Why this matters
  • Itemized revenue instead of manual journal entries
  • Fewer reconciliation headaches at close
  • Novi and QuickBooks stay accurate automatically
4

Novi Tickets Created Automatically

You stop pre-building ticket types in Novi. When an exhibitor buys booth 412 and a gold sponsorship, ExpoGenie creates the registration, both tickets, and the QuickBooks invoice and payment against it.

Why this matters
  • No ticket setup in Novi before you open booth sales
  • Ticket names match what you named the product in ExpoGenie
  • New tickets default to admin only, so nothing appears on your public event page
How it connects

A true native integration, no middleware

Novi stays your system of record. Membership status flows into ExpoGenie, and every sale flows back out to Novi and QuickBooks.

Configured with ExpoGenie support · no manual exports or spreadsheets

Built with the Novi community, not bolted on afterwards. ExpoGenie designed this integration alongside Russ Webb and other association executives who run their own trade shows on Novi.

An exhibitor buys booth 412 and a gold sponsorship. Here is what exists a moment later, with nobody re-keying anything.

In ExpoGenie

  • Booth 412 marked sold on the live floor plan
  • The exhibitor added to the portal with their task list
  • Staff passes counted against their allowance

In Novi AMS

  • A registration created against the event
  • One ticket for booth 412, one for the gold sponsorship
  • Both set to admin only, so nothing new appears on your public event page

In QuickBooks Online

  • An itemized invoice, one line per item
  • Any member discount as its own credit line, not a netted total
  • The payment applied against the invoice

Booth staff names stay in ExpoGenie, where you manage, report and export them. In Novi those seats show as TBD.

FAQ

Frequently asked questions

Do exhibitors need a separate ExpoGenie login?
No. Exhibitors sign in with their existing Novi credentials, and ExpoGenie recognizes their membership status automatically.
Can we restrict booths to members only?
Yes. Single sign-on reads membership status on the way in, so non-members and lapsed members are gated automatically. If you also sell to non-members, there are separate paths for non-members who exist in Novi and for companies that are not in Novi at all.
Does it sync itemized line items to accounting?
Yes. Each booth, sponsorship and add-on posts as its own line on the QuickBooks invoice, and the payment is applied against that invoice, rather than arriving as a single lump sum.
Does ExpoGenie replace Novi?
No. Novi remains your AMS and system of record. ExpoGenie powers the exhibitor experience: booth sales, selection, tasks, and portal workflow.
Can it handle complex or tiered pricing?
Supported. ExpoGenie can handle complex pricing logic and itemized checkout flows.
Can members see different pricing automatically?
Yes. Single sign-on reads the Novi member type, so a supplier, an owner or a multi-year sponsor can land on the floor plan already seeing their price, with no code to enter. Discount codes work too if you would rather hand those out.
Do booth staff names sync into Novi?
Not today. Booth staff and badge details are collected, managed, reported and exported in ExpoGenie. In Novi, the seats on the exhibitor registration show as TBD, and you can import the names there if you need them.
Does it connect to Novi e-commerce items?
No. The integration works against Novi event registrations and tickets plus QuickBooks invoices and payments. It does not touch the Novi e-commerce side. Add-ons you sell in ExpoGenie can be set to add zero seats, so they do not inflate your registration counts.
Do discounts come through as line items?
Yes, and this is where the rebuilt platform differs from the original Novi integration. A $1,000 booth with a $200 member discount posts as a $1,000 line item plus a separate $200 credit, not as a single $800 total.
How long does it take to launch?
Typical onboarding runs about four weeks: self-guided video modules with four live checkpoint sessions with our customer success team. Teams that already have their floor plan, exhibitor list and Novi event in place have gone live in a week.
