The challenge
Partner purchases that follow more than one payment path, and old-platform workarounds like password resets and 100% discount codes to record purchases paid elsewhere.
The solution
ExpoGenie for partner purchases, add-ons, booth sales, and exhibitor tasks, with admin tools built for purchasing exceptions and Cvent kept for registration and lead scanning.
The outcome
CSTA sold its 2026 booths and took partner payments through the portal, found add-on setup intuitive, and renewed for 2027.
Customer profile
An educator association with a partner-supported annual conference
The Computer Science Teachers Association (CSTA) supports K–12 computer science educators through community, professional development, and resources. Its annual conference connects teachers with peers, learning opportunities, and the organizations exhibiting and sponsoring the event.
CSTA’s partnerships and events teams share responsibility for getting those organizations ready for the show. ExpoGenie has supported that work for approximately five years, providing a place to manage partner purchases, booth sales, add-ons, and exhibitor requirements across successive conference cycles.

The challenge
More than one payment path, and workarounds to record them
CSTA’s partner sales do not follow a single payment process. Some organizations pay directly online; others require separate invoicing or an externally managed payment. The team needs to accommodate both while keeping each partner’s purchases reflected in the event portal.
On the older platform, handling those exceptions could involve resetting a partner’s password, signing in on their behalf, and creating a 100% discount code to record purchases being paid for elsewhere. Preparing the next event also requires coordination across shop configuration, floor planning, and exhibitor tasks.
Managing partner-specific purchasing and payment requirements
Recording purchases invoiced or paid outside the platform
Making purchases on a partner’s behalf without password resets or 100% discount codes
Coordinating booth inventory, add-ons, and exhibitor preparation
Supporting more than one contact per exhibitor under a one-user-per-company model
Helping partners navigate login and account-access issues
I like it. The add-on piece was what I was doing, real intuitive.

The solution
Partner purchases, booth sales, and exhibitor tasks in one portal
CSTA uses ExpoGenie as its sponsor and exhibitor platform while continuing to use Cvent for registration and lead scanning. The move to the newer ExpoGenie platform also introduced administrative tools aimed at the purchasing exceptions CSTA had described.
Partner purchases and add-ons
CSTA configures add-ons in the shop and helps partners set up their purchases. The team’s partnerships lead built this part of the new portal during onboarding.
Interactive floor plan and booth sales
CSTA uses the floor plan alongside its booth-selling process, and sold its 2026 conference booths through ExpoGenie.
Company and contact management
A company-based structure supports multiple contacts under one exhibitor organization, replacing the previous one-user-per-company model.
Exhibitor tasks
CSTA’s events team configures tasks for partner deliverables, including task ordering and file collection, and continues its practice of collecting links for video assets.
Admin account access and flexible orders
Staff can view and work in a partner’s account without resetting its password. Administrator-created orders, editable prices, and invoice notes handle custom arrangements and purchases paid outside the platform.
Online payments
Partners pay online directly in the portal, with Stripe processing payments for CSTA.
The results
Booths, add-ons, and partner payments running through one portal
A platform used across successive event cycles
By the 2026 business review, the relationship spanned approximately five years, with CSTA using ExpoGenie for partner purchases and exhibitor operations from one annual conference to the next.
Booth sales and payments through the portal
CSTA sold its 2026 booths through ExpoGenie and used the floor plan, and partners completed their online payments in the portal.
Intuitive add-on configuration
CSTA’s partnerships lead configured the shop’s add-ons during onboarding and described the work as “real intuitive,” while other team members handled the broader portal setup and new tasks.
Continuity with CSTA’s existing event technology
CSTA kept its Cvent registration and lead-scanning workflows while using ExpoGenie for exhibitor sales and preparation.
Renewed for the 2027 event cycle
Following the business review, CSTA signed its renewal and asked for help getting the 2027 portal underway.

Looking ahead
A smoother partner experience and better access to event data
CSTA’s next cycle focuses on improving the partner experience and access to event data. In response to the team’s feedback, ExpoGenie demonstrated in-app support ticketing and announced a redesigned reporting module.
The teams have also discussed combining Cvent lead data with ExpoGenie booth information to explore floor-plan heat maps and leads per booth. For the 2027 portal, ExpoGenie has provided guidance on creating a new event and cloning selected data from the prior cycle.
